Who we are

We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
Only what you give us when you send a request, a message through the assistant, a seasonal offer request or a shop order: your name, phone number, email address, the building, suite or address concerned, the service you need and any details you choose to add. We do not take payments on this website and never ask for card numbers.
Why we use it
To answer your request: call or email you back, prepare a proposal or a quote, book a visit, confirm and deliver an order, and keep a record of the work done for your building or suite. We do not sell or rent your information, and we do not use it for unrelated marketing without your consent.
Where it is kept and who sees it
Requests are stored in our own scheduling and maintenance software, hosted on servers in Toronto, Canada. Only Shax HVAC staff who need it to serve you can see it. When you are a resident or owner in a building we maintain, information about the work in your suite may be shared with the building’s management office, which is our client for that work.
How long we keep it
As long as needed to serve you and to meet our legal, warranty and accounting obligations, then it is deleted. Requests that did not lead to any work are deleted after two years.
Cookies and browser storage
This website does not use advertising or tracking cookies. Your browser stores three small items on your device only: whether you have already seen the assistant and the seasonal offer during this visit, and the contents of your shop order until you send it. The map on our pages is provided by Google Maps, which may set its own cookies under Google’s privacy policy.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent and ask us to delete it, subject to the records we must keep by law. Write to info@shaxhvac.ca; we answer within 30 days. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
Security
Information sent through this website is encrypted in transit (HTTPS). Access to our software is limited to named staff accounts.
Changes
We may update this policy when our services change. The date below shows the latest version.
